Heath welcomed everyone to the meeting and called the meeting to order. 2. Review and Approval of Agenda Moved by Z. Adatia Seconded by A. Fraser That the agenda for the September 8, 2022 meeting of the Pickering Anti-Black Racism Taskforce be approved. Carried 3. Heath declared a conflict of interest under the Municipal Conflict of Interest Act, with respect to Item 9.1, Honorarium for Rosemarie Darby-Heath, as the person is directly related to them. 4. Approval of Minutes – June 2, 2022 Moved by A. Fraser Seconded by Z. Adatia That the Minutes of the June 2, 2022 meeting of the Pickering Anti-Black Racism Taskforce be approved. Carried 5. Presentations 5.1 Karyn Hanson, Pampas Press Marketing Karyn Hanson, Pampas Press Marketing introduced herself to the Taskforce and provided a presentation that outlined: •the importance of determining the vision and mission of PABRT; •key social media terms such as Reach, Engagement, Impressions, and Key Performance Indicators (KPI’s); •current KPI’s of the PABRT Instagram account; •the need for the Taskforce to assist with content creation, awareness, and engagement efforts; and, •an overview of PABRT’s content schedule. Discussion ensued with members discussing: •the need for Taskforce members to be trained if necessary on various elements of social media development; •the benchmarks that will measure improvement as the Taskforce continues to develop its social media presence; •how to view and access the KPI metrics for PABRT’s Instagram account; - 2 - Page 3 of 7 Item/ Ref # Details & Discussion & Conclusion (summary of discussion) Action Items/Status (include deadline as appropriate) •the need to setup a lunch and learn training for Taskforce Members to learn more about social media development; •opportunity to create content during the lunch and learn; and, •examples of what can be used for social media content. 6. Delegations There were no delegations. 7. General Business 7.1 CCE Sub-committee A.Fraser provided an update regarding civic and community engagement functions including wanting to host a meeting regarding youth engagement and getting more involved in the community during the back to school season. 7.2 Inclusive Leadership Governance Sub- committee F. Heath provided an update regarding the Taskforce’s work on the Terms of Reference. 7.3 Youth Sub-committee E. Gittens provided an update regarding the work of the Youth Sub-committee including past events and the challenges around getting engagement and support. Discussion ensued with Members discussing: •social media support for future events; •the need for a report to Council for any future events by the Youth Sub-committee; •clarification around the Taskforce’s work and the Council Meeting schedule given the 2022 Municipal Election; •clarification around the expectations for reports to Council specifying event details in accordance with Policy ADM 040; •the planning of less formal events such as drop-in tutoring sessions, and whether specific event details are required; - 3 - Page 4 of 7 Item/ Ref # Details & Discussion & Conclusion (summary of discussion) Action Items/Status (include deadline as appropriate) •the timing of potential events in October or November 2022; •clarification around the term of the Taskforce, and the recruitment process to occur in February and March 2023; and, •details around the planned September 29, 2022 Powerfully Informed Event. 7.4 Communications Sub-committee Kenisha Hanson provided an update regarding the work of the Communications Sub-committee including: •the work relating to the upcoming Powerfully Informed Event; •the circulation of the survey content through the Taskforce’s social media channels; •the work to boost engagement and awareness of the Taskforce on social media; •the need for advanced notice of upcoming events so that they can be adequately promoted; •exploring opportunities for having a student assist with social media; and, •the coordination of a lunch and learn for Taskforce Members to learn more about social media. 7.5 Powerfully Informed (Draft Report) F. Heath informed the Committee that the Powerfully Informed draft report is complete and will aim to share the report with the Taskforce next week. 7.6 Discussion/Vote: Holiday Market Proposal & Social Media Training F. Heath noted the intention to host a substantive social media training for Taskforce Members who want to learn more about social media as well as the proposed Black Joy Holiday Experience (Holiday Market) event. O. Grignon provided an overview of the proposed details for the Black Joy Holiday Experience event including: - 4 - Page 5 of 7 Item/ Ref # Details & Discussion & Conclusion (summary of discussion) Action Items/Status (include deadline as appropriate) •Date: November 27, 2022 •Time: 12:00 pm – 5:00 pm •Venue: Chestnut Hill Developments Recreation Complex •Proposed Budget: $7,000.00 O. Grignon provided an overview of an event planned for September 15, 2022 called Engaging Our Community Stakeholders to solicit feedback from community organizations and learn more about opportunities where the Taskforce can support. Members raised concerns around processes that vendors may need to engage with to participate in the Black Joy Holiday Experience, vendors not being charged to participate in the event, and the promotion of the event by community partner organizations. Moved by Z. Adatia Seconded by A. Fraser That the Engaging our Community Stakeholders Event planned for September 15, 2022 be approved. Carried Moved by Z. Adatia Seconded by K. Hanson That the Black Joy Holiday Experience event planned for November 27, 2022 be approved. Carried 7.7 Workplan Update and Discussion/Vote This matter was discussed under Item 7.8, Treasurer Update: Budget Approval Items. 7.8 Treasurer Update: Budget Approval Items O. Grignon provided an update on the Taskforce’s budget and displayed a spreadsheet with budget details. Discussion ensued with Members discussing: - 5 - Page 6 of 7 Item/ Ref # Details & Discussion & Conclusion (summary of discussion) Action Items/Status (include deadline as appropriate) •miscellaneous spending including email subscriptions and Taskforce t-shirts; •communications spending including the digital marketing contract with Pampas Press Marketing; •youth engagement spending including the Reaching Higher Event; •community engagement spending including the costs associated with the Canada Day event, Powerfully Informed events, and the planned Black Joy Holiday Experience event; •the projected budget shortfall in the community engagement budget, and opportunities to mitigate the shortfall; and, •the potential impact of the projected budget shortfall on the upcoming Black Joy Holiday Experience event. Moved by J-D. Heath Seconded by O. Grignon That the Taskforce extend the services provided by Pampas Press Marketing until October 15, 2022. Carried 8. Correspondence 9. Other Business 9.1 Honorarium for Rosemarie Darby-Heath O. Grignon spoke to the volunteer service of Rosemarie Darby-Heath at various Taskforce events and proposed that the Taskforce provide her with an honorarium. Discussion ensued with Members discussing: •the importance of recognizing volunteer service; •whether alternative methods to recognizing volunteerism have been considered; and, •whether the Taskforce can consider putting a process in place to recognize volunteerism in future. - 6 - Page 7 of 7 Item/ Ref # Details & Discussion & Conclusion (summary of discussion) Action Items/Status (include deadline as appropriate) Moved by A. Carried 9.2 Banner/Billboard Update & News Advertiser Feature Kenisha Hanson and Karyn Hanson provided the Taskforce an update regarding the development of a banner/billboard and the News Advertiser feature. Taskforce Members were encouraged to take a photo of the billboard sign when it is posted on digital signage and send any photos to K. Lopez and Kenisha Hanson. 10. Next Meeting – October 6, 2022 11.
