Index 01 Definitions 02 Criteria for the Evaluation of Requests 03 Key to the City Requests 04 Presenting the Key to the City 05 Recipients 01 Definitions 01.01 Key to the City — A symbolic gift that the City bestows an esteemed recipient symbolizing the honour and freedom to enter and leave the City at will as a trusted friend to residents. 02 Criteria for the Evaluation of Requests 02.01 A "Key to the City" may be awarded to an individual, group or organization that furthers the ideals of the City of Pickering, or to recognize outstanding achievements in a field of endeavour, or in public and civic life. 03 Key to the City Requests 03.01 The Mayor is the approval authority for "Key to the City" requests on behalf of Council and the City of Pickering. 03.02 "Key to the City" requests must be submitted in writing to the Office of the Mayor for consideration, at least three months in advance of the proposed presentation date. 03.03 If the request is approved, the Office of the Mayor will provide a letter confirming the request, including the details of the key presentation. 03.04 Members of Council, the Chief Administrative Officer and the City Clerk will be kept apprised of all requests, approvals or denials as a copy recipient on a letter or by email. 03.05 Notification of the "Key to the City" award will be posted on the City website, and through other appropriate channels such as social media, to generate public awareness. 04 Presenting the Key to the City 04.01 If the request is approved, the Mayor will present the "Key to the City" to the recipient at either a pre -organized community or official event at which the intended recipient is a guest of honour. In the absence of an available event, the Mayor shall present the key at the beginning of the first suitable Council meeting. Procedure Title: Key to the City Page 2 of 3 Procedure Number: ADM 110-007 04.02 Documents conferring a "Key to the City" will be prepared by the Office of the Mayor. An inscription on the key, or plaque on which the key may be mounted, shall state the name of the person or group the key has been presented to, the date of presentation and the reason for the award. 05 Recipients 05.01 A list of previous "Key to the City" recipients is kept on file with the Office of the Mayor and posted on the City of Pickering Website.
