The procedure stipulates various types of identification and provides parameters of identification required. Index 01 Definitions 02 Procedures 01 Definitions 01.01 Name Tag Identification -- Magnetic name tags. 01.02 Security Access Cards — Photo identification including name and title. Provides electronic access to facilities and printers. 01.03 Certificate of Appointment Card — Issued by the City Clerk to Building Inspectors and Fire Inspectors. 01.04 Badges — Includes Identification Numbers and are assigned to Municipal Law Enforcement Officers and Animal Services Officers. 01.05 Contractors Pass — General Pass provided to all contractors who attend onsite and may not be supervised by a staff person while performing their duties. 02 Procedures 02.01 Name Tag Identification — Name tags are provided to all staff who are required to answer counter enquiries, including all Recreation Complex staff, Program staff, and Administrative Support staff. Name tags are required to be worn at all times, in addition to Security Access Cards/Photo Identification. a. All staff, when in attendance at public meetings and events (Le. Council meetings, workshops, meetings with outside agencies and special events) are required to wear their name tag identification. b. Name tags are ordered by the Administrative Assistant or designate. The form is located on the Intranet under Forms/Orders/Name Badge. The following is the criteria for name format on the tag: Front line staff First name only Administrative Support staff First name only Education Instructors — Museum Salutation and last name All other staff Full name Mayor and Members of Council, CAO, Directors & Division Heads Full name and title Note: If a staff person has concerns about having their full name on their name tag, the option of having their first name only can be approved by the Manager/Supervisor. c. Temporary staff are provided with a name tag. The Administrative Assistant or designate has a supply of blank name tags, and names are added using a clear laser label. Engraved name tags can be ordered at the discretion of the Manager/Supervisor. 02.02 Employee Photo Identification/Security Access Cards are required for the following staff: • Civic Complex • Recreation Complex • Facilities • Community Services program staff (full-time and part-time) • Operations Centre (includes Manager, Public Works, Supervisors and Forepersons only) Procedure Title: Employee Identification Page 2 of 3 Procedure Number: ADM 160-001 02.03 Photo Identification (does not include security access) — Additional photo identification is required for all staff who attend site meetings on private property, construction sites, etc. 02.04 Certificate of Appointment Photo Identification — Building Inspectors and Fire Inspectors are required to have a Certificate of Appointment photo identification card (signed by the City Clerk) in their possession at all times when conducting City business. 02.05 Badge Identification — Municipal Law Enforcement Officers and Animal Services Officers are required to have a Badge and ID number (assigned by the Manager, By-law Enforcement Services) and are required to have it in their possession at all times when conducting City business. 02.06 Contractors Pass — Contractors will be issued a pass when attending City Hall. Passes are obtained from the Customer Care Centre (1St floor reception) and are issued along with keys, if appropriate. The Customer Care Representative is responsible for having the contractor sign the logout book when they are provided with the pass and key. The Customer Care Representative is then responsible to ensure the pass and keys are returned when the work is completed.
