Councillor Dickerson welcomed all the platinum sponsors to the first steering committee meeting and thanked everyone for making Pickering 2000 possible. He introduced Mayor Wayne Arthurs, Councillors Brenner, Pickles and Holland. 2. Mayor Arthurs welcomed everyone and stated the target dates for the Millennium celebrations are July 1, 1999 to July 1, 2000. He stated 1999 was also the 25th birthday of the Town of Pickering. He thanked the platinum sponsors for their generosity. 3. Councillor Dickerson stated that Council Members had made a resolution to speak to the needs children and seniors of the community. The Mayor and Members of Council are open to suggestions as to how these needs can be identified and met. 4. Key Dates: The kick-off date for the Millennium Celebrations is July 1, 1999 at the Canada Day Celebrations at the Kinsmen Park. As this is the International Year of Older Persons, the seniors community have requested a"seniors event"with suggestions such as"Big Band Sounds". Councillor Rick Johnson gave overview on December 31, 1999 -New Year's Celebration- Metro East Trade Centre - Black Tie Gala- $500/couple, 7 course meal - Tents attached to hold 500 people each - Licensed room with lounge for 2,000 people and licensed areas at each entrance - Capacity to hold 8,000 - 10,000 - Entertainment area- 2 stages - from 8:00 p.m. - 2:00 a.m. - Lone Star co-ordinating entertainment - Major TV networks to be involved(CTV) - Major impact on Economic Development -No charge, family events at other areas - alcohol free Doug Todd, Our Concepts, gave a brief overview on the fireworks display that will be taking place at midnight on December 31, 1999. Councillor Maurice Brenner gave a presentation on the Transportation plans which will take place throughout the evening - anticipating having to plan for moving approximately 15,000 residents. - co-ordinate with Neil Killens to have shuttle buses to cover pick-up points in the east and west of Pickering as well as the north(including Claremont and Brougham) - local shuttle service to have a 10 minute turnaround - shuttle parking lots set up throughout the Town to the METC - Durham Region to set up a transportation corridor- look into obtaining "people mover"trains - Taxi companies will be available to also use the transportation corridor - "safety"main concern overall Councillor Mark Holland advised that there will be large projection screens set up at various locations at the METC to televise the various millennium celebrations throughout the world as. they happen. Closing - July 1, 2000 - Canada Day celebrations - Councillor Dickerson invited all participants to bring ideas to next meeting. 5. Events/Promotional Items Other events will be discussed through appropriate sub-committees (to be set up). Suggestions given were skating party, full scale circus Kurrie Storey, Brass Tacs, advised that promotion items such as flags(large/small), pins, mugs, caps, t- shirts would be available. Molson's would be putting together a promotional package. Councillor Dickerson brought up the idea of a Pickering Millennium book- with sponsors ads- to be a self funding project Tom Mohr, Pickering Historical Society, advised that book would be 8 1/2 x 11 with approximately 260 pages with colour cover and photos of Pickering "present" and black and white photos of Pickering "past". The book would sell for about $10.00. He distributed a copy of the Pickering Historical Society Newsletter which would be distributed with the minutes of the meeting. Councillor Dickerson advised that mid-February would be the deadline for marketing products which would be offered at cost - no administrative costs. Joanne Thomas of the United Way asked about items/ideas to promote Pickering 2000 outside of Pickering, i.e. through home builders. Suggestions given: weekend event/tour, bus wrap on Transit Scott Wolfe, Miller Waste, inquired about activities at waterfront. Councillor Dickerson and Councillor Holland advised that funding is being sought from the Federal Government to develop the Millennium Square/Trail at the waterfront. Mayor Arthurs spoke about having a lasting legacy with an historical context come from the millennium activities. Councillor Dickerson advised that the Summer Games have been awarded to the Durham Region and that Pickering 2000 activities could be tied into those events. The Summer Games are scheduled for about mid-August. Steve Reynolds advised that the town would be very active in hosting some of the games. Stan Muir, Vice Chair, Winterfest, discussed combining Winterfest activities with winter carnival activities - toboggan runs at Dagmar/Lakeridge - tie in to Claremont Winter Carnival. Kurrie Storey, Brass Tacs, will provide the Pickering 2000 logo on a computer disk to be used on sponsors letterhead, other stationery, corporate promotion items. Sponsors were asked to give Councillor Dickerson samples for review. This item would be launched July 1, 1999. Councillor Dickerson asked sponsors for feedback on a slogan for Pickering 2000 - "a new beginning". Councillor Holland is getting provincial legislation to change the Town of Pickering to the Millennium City at midnight, December 31, 1999. Councillor Pickles stated that council has sought out the best corporate citizens in Pickering and challenged the group to come up with innovative ideas to cover adult and children's events. Councillor Dickerson asked that all platinum sponsors provide a contact name, address and phone number for their corporation and provide a brief biography of their company-to be sent to the Town office to the attention of Councillor Dickerson. Kurrie Storey also requested the "logo" of all the platinum sponsors be provided to Councillor Dickerson as well. A"Pickering 2000"newsletter is being developed which will be sent to all sponsors. 6. Millennium Mascot Mayor Arthurs brought up a"Pickering 2000"mascot for a discussion- suggested name P2K - the Millennium Bug. This could be visually tied into activities. Committee should look into having a small"P2K"made as a collectible. 7. Other Business Councillor Dickerson advised that presently there are 30 sponsors with 7 other corporations interested in joining. The maximum number of sponsors would be 40. There will not be a"gold", "silver", "bronze" level of sponsorship. 8. Future Meetings It was discussed and agreed to that sponsor meetings will be held every 2 months until July 1, 1999.
