Museum Virtual Tour A tour of the museum site was taken earlier in the afternoon of May 14, 2002 due to inclement weather. A list of repairs to the site was made, distributed and discussed at this meeting. (Copy attached) 2. Approval of Minutes Moved by Bill Utton and Seconded by Pat Dunnill that the minutes of the previous three meetings be approved. 3. Newsletters Laura commented on the following newsletters available for Committee Members: • PineRidge Arts Councils newsletter 'Arts Scene' which provides information concerning the upcoming BackWoods Players presentation entitled "Muton Veiled as Lamb". •. The Backwoods Players Spring 2002 Edition of"The Voice in the Wilderness". • Pickering Museum Village Foundation Newsletter entitled "Pickering Junction News". Laura further advised that The Backwoods Players will be receiving an award from the Durham Arts Council. 4. Committee Reports Education Dave provided the following update on the Education program: • booked solid until the end of June • two new summer staff have been hired with a new job description which includes coordinating functions, answering phones, etc. • the preferred programs are: 1837 Program and the Language Program which is popular with the Grades 4 to 8 • a student teacher from York University will be with the museum for five weeks and will be working on program planning • camp will be held for two sessions in July • Kids in the Village Program continuing • a number of day cares/nursery schools booked Special Events • Committee Members are requested to assist in at least two events • 2002 Events posters are being printed in-house • Pat will speak with Pat O'Brien regarding Ontario Power Generations involvement in two museum events • Ontario Power Generations logo appears on all museum literature due to its museum sponsorship • light refreshments will be served at the Steam-Up event, Backwood Players will use this venue as a fundraiser • flyers have been distributed to all Pickering and Ajax households with two for one coupons included for Steam-Up • full coloured brochures with text will be sent to Tourist Information Kiosks in area, Regions of Kingston, London and Barrie and to the Town Centre A discussion took place concerning review of information prior to distribution. The Committee concurred that Laura would review. Steam Barn Wally advised that he requires 10' straight logs for the saw mill and firewood. Promotion Durham Regional Museum Association may be holding a one day Open Door event. This event would take place the second Page 2 Item/ Details & Discussion & Conclusion Action Items/Status Ref# (summary of discussion) (include deadline as appropriate) weekend in June with historical buildings within Durham being open to the public. This event is being promoted by the Region and is for promotional purposes Collections An attempt is being made to get someone for the summer to work on collections. The Collections Policy needs to be updated to include new governance statements. Hotel Restoration The sub-committee have met three times and a further on-site meeting will be held tomorrow at 8:00 a.m. with the Manager, Building Services. The following information was discussed: • Russell White of the TRCA visited the site and advised that the drive shed and hotel could be moved, that they were not within the fill or flood line and that TRCA approval is not required • the existing septic system cannot be used, will require a septic bed or holding tank • L. McCullough will provide an estimate for moving the drive shed • Mr. McCullough will also provide an estimate on lifting and dropping the hotel back in place or lifting and moving the hotel • Supply & Services have located a company who will build a portable kitchen facility • Suggestion was made to acquire a school portable • the temporary facility requires washrooms, kitchen, work space, costume storage area and change room Foundation Pat provided the following update on the Foundation: • the new Bingo Licence Fee has been increased from $500 to $1,270 for six months and that there is a five year moratorium on this rate • Bingo runners are needed on Tuesday mornings from 8:30 a.m. to 12:00 p.m. • a contract has been signed to have new Chapel pews constructed and grained. • Foundation would like at least three more members on the Board • their Annual Meeting will be held on June 13th • a representative of the Trillium Foundation has stated that there is a possibility of receiving funds for the hotel subject to a five year lease arrangement being in place prior to submitting application • could receive $75,000 for stabilizing and putting in foundation Page 3 - Item/ Details & Discussion & Conclusion Action Items/Status Ref# (summary of discussion) (include deadline as appropriate) and another $75,000 for restoration • two stages —two quotes for each piece of work • complete one project and sign off prior to next submission 4. Budget Update Steve advised of the following: • major portion of the new entrance has been completed • roads to be completed with culverts • staff are compiling 2003 Budget with a large part being the hotel restoration 5. Other Business a) Marisa advised that she is working on the new Museum road sign and village sign and that the Ministry of Transportation requires a sketch of what this sign will look like. b) Marisa advised of the "Young Heritage Leader Achievement" pin and recognition certificate presentation made to Alison Bezubiak awarded by the Ontario Heritage Foundation and sponsored by London Life. 6. Next Meeting The next meeting of the Pickering Museum Advisory Committee will be held on Tuesday, October 1st at 7:00 p.m. in the Main Committee Room of the Civic Complex. Meeting Adjourned: 8:53 PM Copy: Page 4 VIRTUAL WALKABOUT PICKERING MUSEUM VILLAGE MAY 14, 2002 walk way down to the village: -log railings need repair -drainage tubes need to be covered to prevent damage bridge top: -two layers, but cracks not aligned--not allowing dirt to fall through, as a result wood is rotting -some rotting on rails roadways: - grading needs to be done - ditching along roadways to allow for spring runoff - part of the drainage problems throughout the site-- new contouring when hotel/program centre is completed f, log barn: - south wall infestation of carpenter ants - log needs replacement Collins House: -parlour walls have been repaired--need to have a bee to get them repainted/stencilled ;,Miller Cole: porch roof re-shingle - footings on porch need to be replaced (below frost line) so water doesn't drain back towards the house -window sills need replacing -paint ??? -garden trellis-gift from Bloomers & Britches, memorial rose General Store: porch roof re-shingle -back steps need replacing/stabilizing Oddfellows Hall: wash windows -repair ramp -enlargement of the peony garden
