HomeMy WebLinkAboutMay 14, 1998 , PICKERING MUSEUM ADVISORY COMMITTEE A general meeting of the Pickering Advisory Committee was held on Thursday May 14, 1998 at the Pickering Museum Village on site Present: Ms. Laura Drake (Chairperson) Ms. Lynn Vickers Mr. Pat Dunhill Mr. Dennis Mann Ms. Gayle Quintilian Mr. Tom Mohr Mr. Bill McLean Ms. Mary Cook Sharon Milton, Program Superintendent Margaret Donaldson Jody Whitehouse, Recording Secretary Councillor Rick Johnson Stephen Reynolds, Director of Culture and Recreation Wally Biernacki ill Weston 1. SITE TOUR OF PICKERING MUSEUM VILLAGE: During the site tour the following areas were reviewed: There is a Caterpillar tent covering the mulberry bush which needs to be removed. Committee reviewed salt damage from recent filming. Need to be repaired, trees and bushes will need to be replaced and the green areas will need to be resoiled and resodded. The chapel is to be repainted to its original colour. The Gazebo needs to be lifted and fitted with shims to prevent potential injury and damage. Bell needs to be repaired. The Staff are using a new fire repellent spray. The washroom extension must use existing plumbing facilities to reduce costs. The floor need to be reinforced this is a Capital Budget Item and is pending budget approval. The wood lying in the rear of the Log House should be moved to serve as seating at various locations. 2. WELCOME Sharon Milton welcomed committee members and introduced new recording secretary, Jody Whitehouse. 3. COMMITTEE REPORTS: Fundraising Distributed and Mr. Dunhill reviewed highlights of his report. There has been no date set for a Herongate Event. The committee reviewed the validity of this event as a fundraiser, and discussed other , possibilities. Community Outreach Participation in the Whitevale Parade was cancelled due to the Muskets, Fifes and Drums Event. The Brooklin Parade, on June 6th at 9:00 a.m., will be co-ordinated by Mr. Elrick. Pickering Village Parade will be held on June 13th at 9:30 a.m. The Newsletter has been mailed out. iA Special Events The Pickering Fire Department has a smoke house. The Museum should book it for the Fall Family Picnic Event. Rougemobile Educational service, could be tied in with the Family Picnic Event. Advertising for Kids Day Under 12 years of age are admitted at no charge. Nursery schools should be added to the mailing list for future contact. Schoolhouse and Washroom Facilities Budget needs approval prior to the commencement of construction. Collections Management The Sub Committee needs to meet with Dave Marlowe. Mr. Mohr is available to meet some weekdays. He identified the availability of Town Heirlooms that are specific to Pickering, Mr. Mohr suggested that the committee collect and display these artifacts. Hopefully funding will be available through grants from the establishment of the Foundation to proceed with such a project. If the application is successful, proper storage will need to be instituted. 4. BUDGET UPDATE: The Capital and Operating Budget are scheduled for approval in June. Currently the Pickering Museum Village is operating similar to the 1997 Budget operation. 5. SUMMER EVENT/PROGRAM UPDATE: Military Event - to be held May 22nd and 23rd. Kid's Day - June 7th. Camping at the Museum - currently in operation. Filming will be in the week of May 25th. There is minimal space left for Board of Education tours from this date until June. Reserving the Barber for History in Action. This is the best showcase for his appearance. Volunteer availability for events should be submitted to Mrs. Vranic. MOTION: Moved by: Mr. P. NEW BUSINESS: Dog Policy As the presence of dogs on the grounds during special events poses a safety hazard, it is recommended that they not be permitted on site. It is recommended dogs be allowed to use the grounds for walks when the museum is closed to the public provided they are leashed. This recommendation will be forwarded to Stephen Reynolds. Donation for Elizabeth Martins To honor Elizabeth Martins, the committee would like to place a bench and plaque in her memory on the grounds. A ceremony will be conducted for staff and volunteers on Saturday September 12, 1998. Smoking Policy Effective immediately there will be no smoking permitted in buildings. This policy effects staff and volunteers alike. Grant Info The Superintendent will provide grant contact to Ms. Drake and Mr. Mohr. Some funding is available for new groups, and the Ministry may be contacted (by Mr. Mohr if his group is interested). Historical Association Presentation Mr. Mohr is intending to present a synopsis of the roles of the 4 Historical associations in the Pickering area to Council to provide an overview of the each groups direction. 8.
