1. Adoption of Minutes
- October 22,2008
A motion to adopt the minutes of the October 22, 2008
meeting was tabled by Aisha Heywood and seconded by
Zoia Horne.

2009Accessibili Plan
Prem asked the committee members if they had a chance to
review the Accessibility Plan and whether they had any
concerns relating to facility matters.

. Kelly mentioned that she reviewed the plan and liked
the comments included. As stated in the plan, some
of the issues are more difficult to address, i.e.
Whitevale and Claremont. It was suggested to
schedule a future meeting off-site to visit these
properties to better understand the concerns.
. Kelly also mentioned that the new chairlitt at East
Shore Community Centre is great. Prem noted that
they have really done a good job with the parking lot
redesign and the location of the handicap parking
spaces.
. Zoia commented that the committee should be invited
to attend more events in the communit to increase

awareness of their role and have a greater presence.
. Create some type of liaison with TV programs, etc.
. Prem reminded the committee that the Accessibility
Plan is for facility only. The committee will be
addressing its involvement in the community as part of
the 2009 Work Plans.
. Kelly noted that there are some outstanding issues to
be dealt with, such as the Evacuation Plan for 2010
and the website.
. Kelly suggested that the committee endorse the 2009
Accessibility Plan and that it be presented to Council
in December 2008.
. Item was moved by Kelly Collins and seconded by
Zoia Horne.

The committee members reviewed the above site plans.

Zoia Horne provided comments. (see attached page)

. Stephen Little mentioned that it is discouraging to see
that developers are still submitting plans with limited
access for wheelchairs and scooters by only including
stairs in the designs. There is no consideration for
people with disabilities.
. Stephen also indicated that the new San Francisco By
The Bay development has a number of mobility
challenges in the design for the townhouses. The
condos are more accessible due to the elevators.
. It was suggested that the committee should invite
some developers at a future meeting to discuss their
concerns for housing and provide some input on pre-
construction designs for accessible housing and
options for people with disabilities.

Prem distributed the copies of the draft brochure and
mentioned that some changes are required due to the
Customer Service Standards. For example, the font has to
be aerial 12 and black print instead of red, no italics and no
background design that would make it hard to read.

Some edits were discussed and Councillor Littley added
comments about the AODA. The brochure will be revised and
a new draft will be circulated to committee members for their
final review and approval before presenting it to Council in
January 2009.
Standards for Customer Service
Prem asked that committee members forward their
comments on the Standard Operating Procedures to her to
summarize and submit to the CAO.
. It was noted that the City must meet the AODA
requirements by 2010. The City of Pickering is well on
its way to meeting compliance.
. Prem indicated that staff at the City has received
training and training will also be available for
committee members. All full and part time employees
will be trained, as well as all volunteers who are
involved in dealing with the City.
. Committee members expressed an interest in
attending the 3-hour workshop if possible. Prem to
confirm details of training and advise committee
members.
. Other components of the AODA are Transportation,
Information and Communication, Built Environment
and Employment.
. Kelly commended the City for its proactive approach in
establishing these standards and indicated that she
would be sending an email to Judy Hodgson to thank
her for her efforts.
Committee Membership Renewal
Committee members enquired about the renewal process to
apply to remain a committee member. Aisha advised that a
letter was sent out to them but the telephone number in the
letter was wrong and she had difficulty in reaching a contact
person at the City.
