Request for Waiver of Hall Rental Fee for East and West Salon of the
Pickering Recreation Complex from The Youth Centre
Fundraiser for the Centre
Recommendation:
1. That Report CS 07-07 of the Director, Corporate Services & Treasurer be
received; and
2. That direction from Council be received with respect to the request for waiver of
the hall rental fee for the East and West Salons at the Pickering Recreation
Complex, at a cost of $1 ,565.80, for the Centre's Fundraiser.
Executive Summary:
A request has been received from John Chaplin, Board Chair of the Youth Centre to
waive the hall rental fee of $1,565.80 in order to host a fundraising event in partnership
with the musical group Two for the Show, for a fundraiser to benefit the Centre.
Financial Implications:
The cost of waiving the hall rental fee of the East and West Salons at the Pickering
Recreation Complex $1,565.80, which is comprised of the following:
Base Hall Rental Price: $1,418.00 + 6% = $1,503.08
Music & Dancing Fee 59.17 + 6% = 62.72
Total: $1,565.80
Please note that this fee reflects an out of area rate due to the fact that the organization
is based in Ajax.

Background:
A request has been received from John Chaplin, on behalf of the Youth Centre,
requesting the City of Pickering to waive the hall rental fee for a fund raising event for
the Centre to be held on March 24, 2007. The event is to be held in the East and West
Salons at the Pickering Recreation Complex.
Requests for waivers of a hall rental fee are treated in the same manner as a grant to
organizations and individuals. If Council agrees to this request, the funds will come
from Account 2195 (Grants to Organizations and Individuals).
If Council is in support of the request of John Chaplin, then the following resolution
should be passed:
1. That the request of John Chaplin, Board Chair of the Youth Centre, to waive the
hall rental fee of the East and West Salons at the Pickering Recreation Complex
on Saturday, March 24, 2007, in support of a fundraising event to raise funds for
the Youth Centre be received;
2. That a grant in the amount of $1,565.80 be made to the Youth Centre to offset
the said rental fee of the East and West Salons at the Pickering Recreation
Complex on Saturday, March 24, 2007; and
3. That this amount be charged to Account 2195 (Grants to Organizations &
Individuals).

Dear Ms. Bentley:
After email corre ondence with Mayor Ryan 0 eptember 22, 200Ei, it was suggested that we send you a
letter to take fo ard to City Council.
On March 24/2007 The Youth Centre in partn ip with the musical group Two for the Show, will be
hosting a fun~~ ~t to.b... e. nefit t tre. We would like our event to at the Pickering Recreation
Complex in th,e nd es a on for a very specific reason. Recently The Youth Centre made
application to the Ministry of Health to build a satellite location in Pickering, it has recently been announced
that our application was accepted and we hope to begin our expansion in 2007. Our Board and committees
felt that this event would not only give The Youth Centre more Visibility in the Pickering community, but also
give the City of Pickering the opportunity to support our expansion.
The Youth Centre is a not-for-profit Community Health Centre, which provides free and confidential primary
care, includin~, medical and counseling services, health promotion programs (outreach and education) and
young parent support programs. In 2005, The Youth Centre provided services and programs to over 10,000
Pickering and Ajax youth.

Presently we have outreach locations in Pickering at Dunbarton High School, where we host a Wel1ness
clinic once a week and at our Petticoat Creek Community Centre whelre we offer weekly counseling
sessions.
We would like to move quickly in securing the space so we can move forward with other arrangement for
the event. We are excited at the prospect of working with City of Pickering on the project. If you have any
