TOWN OF PICKERING MUSEUM BOARD
A meeting of the Pickering Museum Board
was held on TUESDAY, APRIL 13th 1976
at 8:00 P.M.

1. ADOPTION OF MINUTES
Moved by Councillor K. Spratley, seconded by D. McLean
that the minutes of the meeting of March 23rd 1976
be approved.
CARRIED
2. CORRESPONDENCE
a) Letter from Mr. E.J. Gallacher of Public Works Canada,
concerning the leasing of the Municipal Garage at Brougham.
b) Letter from Mr. E.J. Gallacher of Public Works Canada,
concerning the fence rails and pine stumps for the Museum.
,c) Letter to the Editor of the Stouffville Tribune from
Mr. Andrew Glen concerning the moving of the Museum.
d) Article in the P.O.P. Newsletter by Mr. Wayne Moore
concerning Brougham.
e) Letter from Mr. George F. MacDonald of National Museums
Canada concerning the archeological excavations at the
Draper site.

Moved by K. Spratley, seconded by D. McLean that all
correspondence be received and filed.

3. NEW BUSINESS
a) Director of Recreation and Transportation - Guide Function.
A Motion is to be passed by the Museum Board requesting
the Administrator-Clerk to appoint the Director of
Recreation and Transportation in charge of the guide function
and the grass cutting function at the Museum.

Moved by D. McLean, seconded by B. Davjes that:
WHEREAS the Council of the Town of. Pickerina have agreed
that Museum personnel be hired by the Perso~nel Department
and be under the direction of the Municipality in their
Resolution #175/75 {tern #15;

BE IT HEREBY RECOMMENDED to the Administrator-Clerk
that the Director of Recreation and Transportation
be in charge of the guide function at the Museum;
That the Director of Recreation and Transportation
use his discretion in appointing a person in charge to
monitor the opening and closing of the Museum at the
prescribed times;
That the Director of Recreation and Transportation be
authorized to hire a guide captain and an appropriate
number of guides (suggested:3) at his discretion who
whould perform the guide function;
AND FINALLY that the Director of Recreation and Trans-
portation be in charge of the grass cutting function
of the Museum grounds.

b) Museum Opening - Preparations
(i) Clean-up of grounds
Clean-up of Kiwanis building
Clean-up of the other buildings
A suggestion has been made that a Boy Scout
group or groups be asked to help in the general
clean-up of the Museum buildings and grounds.
(ii)
Clean-up of timbers and heavy equipment.
A mutually acceptable time should be arranged
and a motion passed regarding the assistance
of Parks personnel and equipment in moving
heavier objects on the grounds.
(iii)
Any further detailed arrangements to be made
for the opening.
It was agreed that a 28 foot wooden extension ladder
be purchased. Councillor Spratley has discussed the
Scout Troup involvement with their leaders and they are
most enthusiastic. The first troup would be from
Greenwood, for the general site clean-up at Brougham
on Saturday, April 24th 1976. For future work other
troups would be asked in rotation.
Lunch and snacks are to be provided.

Moved by D. McLean, seconded by B. Davies that a Boy
Scout group of groups of Greenwood be contacted concerning
the general clean-up of the Museum building and grounds
prior to the opening May 8th 1876, and that the amount of
$7:50 be offered to the Boy Scout group for each Boy Scout
who participates for the day 9:00 a.m. to 4:00 p.m.

Mrs. G. Mowbray confirmed that the Historical Society
will arrange for volunteers in costume to be present
in each building. They will also decorate the Kiwanis
kitchen where tea will be served. The senior citizens
will provide and serve the tea.
4. OTHER BUSINESS
a) Fire Extinguishers
The two fire extinguishers previously considered
necessary are to be ordered and delivered.
b) Museum News Letter

Moved by Councillor K. Spratley, seconded by D. McLean
that the format and content of the proposed News Letter
be approved.

c) Restoration of Equipment - Appendix I
MOTION 187/76
Moved by Councillor K. Spratley, seconded by B. Davies
that the priorities recommended by Councillor Spratley,
Mr. D. McLean and Mr. Wm. Clark for the reSbration of
equipment at the Pickering Museum, as indicated in
Appendix I, be approved.
CARRIED
d) History-in-Action
It was decided that discussion of the formation of the
History-in-Action Committee and the formation of/and
qualification for membership in a museum association
be deferred to a later meeting.
5. NEXT MEETING
The next meeting will be held on April 27th 1976 at 8:00 p.m.
6. ADJOURNMENT
The meeting adjourned at 11:00 p.m.

It was suggested that the items to be coated with
linseed oil could be taken out on a nice day and Boy Scouts be
hired to paint the equipment with linseed oil.
