Presentations 5.1 Erica Edwards, Community Program Coordinator / Program Supervisor, Durham Family & Cultural Centre Re: Black Joy Holiday Market Update E.Edwards provided an overview of the Black JoyHoliday Market Event happening on November15, 23, and 24, 2024. E. Edwards spoke to: •the over 100 vendors involved in the event; •the promotion of the event through Rogers TVand FLOW 98.7 FM; •the Afro-Caribbean food baskets beingprepared in conjunction with this event; and, •the intent to hold a raffle at the event. A question and answer period ensued between the Taskforce and E. Edwards regarding: •whether there are volunteer opportunities to assist with the event and how to get involved; and, •whether the participating vendors will beadvertised in advance of the event. 5.2 Isla McLaughlin, Event Coordinator, Community Services Re: 2025 Event Summary and Partnership Opportunities I.McLaughlin spoke to the tentative dates ofvarious City Events in 2025 that the Taskforcecould participate in. A question and answer period ensued between the Taskforce and I. McLaughlin regarding the best way to engage the City’s Events Team if the Taskforce would like to be involved in any City Events. I.McLaughlin spoke to partnership opportunitiesfor Taskforce outreach including Free Swims, - 2 - Page 3 of 6 Item/ Ref # Details & Discussion & Conclusion (summary of discussion) Action Items/Status (include deadline as appropriate) Free Skates, and Movie Nights and included an outline of expected facility and staffing costs. I.McLaughlin spoke to the City’s Festival and Events Manual as a resource for the Taskforceand community partners to navigate the hostingof events in the City. A question and answer period ensued between the Taskforce and I. McLaughlin regarding whether there were staff resources available to help guide community partners through the event or partnership process. O. Grignon thanked I. McLaughlin and City Eventstaff for their support with the Taskforce’sengagement with City Events. 6. Delegations There were no delegations. 7. General Business 7.1 City Updates: Equity, Diversity and Inclusion D.Machado-Yew Woon provided an update onCity’s EDI initiatives including: •the continued support for EDI education and workshops for City Staff, including senior leadership; and, •the restructuring of the City’s EDI Team. D.Machado-Yew Woon concluded her remarks reminding Taskforce Members tosubmit all stipend submissions by November22, 2024. 7.2 Executive Updates Budget D. David reminded Taskforce Members that allinvoices for Taskforce business are due byNovember 28, 2024. - 3 - Page 4 of 6 Item/ Ref # Details & Discussion & Conclusion (summary of discussion) Action Items/Status (include deadline as appropriate) 7.3 Subcommittee Updates Consultation and Co-Design Subcommittee K. Hanson provided an update regarding theConsultation and Co-Design project including: •the anticipated launch of the RFP process atthe end of November 2024; •the integration of the project within the City’sEDI Strategy; and, •the updated title of “The Anti-Black Racism Action Plan”. K. Hanson thanked the Taskforce for theircontributions to the project to date, andconcluded her remarks indicating that she willupdate the Taskforce as needed. 2024 Black Joy Holiday Market A. Fraser encouraged Members of the Taskforceand the public to attend the Black Joy HolidayMarket Event. 2025 Durham Region Black History Month Celebration Event A.Fraser informed the Taskforce that they wereinvited to be involved in the planning of the 2025Durham Region Black History Month CelebrationEvent and solicited Members to get involved in the initiative. A question and answer period ensued between the Taskforce and A. Fraser regarding: •where the event would be held; •whether the Taskforce needs to vote onsupporting events run by communitypartners; and, •whether the integration of a craft table couldbe considered for the event. Marketing and Promotions Subcommittee D.Machado-Yew Woon spoke to the Taskforceregarding the ordering of Taskforce t-shirts and their anticipated arrival by first or second date ofthe Black Joy Holiday Event. - 4 - Page 5 of 6 Item/ Ref # Details & Discussion & Conclusion (summary of discussion) Action Items/Status (include deadline as appropriate) 7.4 PABRT Participation in Community Events Durham Region Municipal DEI Symposium O. Grignon and V. Shaw spoke to theTaskforce’s involvement in the Durham RegionMunicipal DEI Symposium on October 26,2024. They remarked that the symposiumserved as a great opportunity to learn what other Committees and EDI Teams are doingacross the Region and highlighted the guestspeakers and the topics discussed. Discussion ensued among Taskforce Members regarding whether this event in intended to be held on an annual basis and the approximate attendance of 45 people from across various municipalities at this year’s event. 8. Correspondence There was no correspondence. 9. Other Business 9.1 Email Etiquette The Taskforce discussed email etiquette and the importance of being mindful regarding when a reply to the sender or all parties in an email is appropriate. 9.2 Durham District School Board Compendium of Action for Black Student Success O.Grignon spoke to the virtual community engagement opportunity for the Durham District School Board’s Compendium of Action for BlackStudent Success happening on November 27,2024 at 7:00 pm. 10.
