1. Adoption of Minutes

That the Minutes of the February 13 , 2001 meeting be approved.

3. Steam-Up
The Committee were advised that catering for mi}seum?vents has become an issue due to
the decision by the Boy Scouts Organization,to not' undertake catering for the entire
summer but rather for only two or three choice events. It is imperative that an organization
interested in participating in the catering of Steam-Up over the weekend of May 26/27,
2001, be found.
Rose advised that she is involved with the Alzheimer Organization and Diabetes Society
and will contact them to enquire if they would be interested in participating in catering
events at the museum.
4. Committee Outreach
a) It was suggested that a volunteer attend school fun fairs in costume to distribute
brochures.
b) Bill Utton recommended providing two for one entrance to attendees.
5. Collections
Cataloguing and updating catalogue files is being carried out, as well as, data entry into the
collection systems on new items coming in is continuing.
6. 2001 Budgets
Steve Reynolds advised that the Members of Council will be reviewing the proposed 2001
Current and Capital Budgets on May 3 & 4. It is anticipated that budgets will be approved
by Council sometime late May.
Steve advised that the following items have been included in the proposed 2001 Current &
Capital Budgets:

• additional funds for education staff training
• $10,000 to maintain collections
• increase of certain salaries
Capital
Please see attached list of proposed 2001 Capital.
Steve advised that he would contact Municipal Property & Engineering concerning
continuing work on the land behind the log barn to address drainage problem.
Steve further advised that funds have been carried over from the 2000 Budget for work not
completed last year. Please see attached list of Museum Capital Carry-Over.
Dave advised that Derek will advise when work can be done on the new Chapel doors.
Signage will be placed at the entrance to the museum advising of road reconstruction along
with signs saying"Caution, Children Playing".
Staff were requested to look into placing speed indicators at the main entrance.
7. Foundation's Relationship to Advisory Committee
An in depth discussion took place concerning the Pickering Museum Village Foundation's
Relationship to the Advisory Committee. Questions arose concerning membership on the
Foundation Committee and whether or not someone from the Foundation should sit on the
Advisory Committee. It was determined that a member of the Advisory Committee could
sit on the Foundation Committee but not a Foundation member on the Advisory Committee
as this Committee would not necessarily have only Pickering residents involved.
Steve Reynolds will approach the City Clerk to determine requirements for having a
Foundation Member on the Advisory Committee.

Seconded by Terry James
That the Pickering Museum Village Advisory Committee endorse proceeding with Stage 1
as recommended for the research project on the hotel and provide the Selection Committee
with approval to select the research group from the submissions.

6. New Business
a) Laura requested that Committee Meetings be placed on the Community Page.
b) The Pickering Museum Village Foundation Annual Meeting will be held on June 14th at
the Puterbaugh Schoolhouse.
The Next Meeting is scheduled for October 11, 2001 —7:00 p.m.
The Meeting Adjourned at 9:00 p.m.
