A general meeting of the Pickering Advisory Committee
was held on Thursday, February 10, 2000 at the
Pickering Civic Complex, Main Committee Room

1. Adoption of Minutes
Moved by Mary Cook
Seconded by Bill McLean
That the Minutes of the September 29th, 1999 meeting be approved as amended.

2. Budget Update
Steve provided an update on the 2000 Operating & Capital Budgets. (Copy Attached)
3. Collection Management
• an article, placed in the Upper Canada Newspaper advising of the theft which occurred
at the Pickering Museum Village, was read by an antique dealer who contacted the
museum to advise that he was in possession of a number of these articles
• seven of the nine articles have been recovered
• the pine box and a wooden bowl are still missing
• Sharon advised that Dave Marlowe is working and focusing on collections
• Committee to review acquisition of table top printing press and a loom—staff to present
written information before acquisition
• Steve will look into a grant program for the purpose of hiring a student for the summer
for data entry
• Steve advised that additional funds have been included in the Operating Budget for
improved security
• Sharon will be attending a workshop on new security systems available

4. Schoolhouse Update
• Sharon advised that ten working days remain on the schoolhouse restoration
• all windows and frames are finished — one window on the second floor needs to be
installed
• the fireplace is complete
• the floor boards are being picked up this weekend
• Official Opening—planned for early May
• the following recommendations were made for a Committee to plan this event: Mayor
Arthurs, Councillor Pickles, Pat Dunnill, Bill McLean, Sharon, Steve and Laura
5. Foundation/Fundraising
• Bill Weston provided the Committee with an update on the financial position of the
Foundation
• Account balance - $23,893
• Bingo—Net Income - $45,000
• $7,000 remains in bingo account after expenditures on renovations to schoolhouse
• Pickering Museum Village will receive a contribution from the Ontario Film
Development Institute in the amount of$4,500
• the Ontario Heritage Foundation and the Ontario Film Development Institute will be
invited to the Official Opening of the schoolhouse
• Pat Dunnill advised that Tom Murrison has expressed enthusiasm in becoming involved
in the building condition assessment for the Hotel
• Pat further advised that an application will be submitted to the Canadian Pacific
Foundation for a grant which is provided for historical projects
• No decision has been made by Loblaws whether or not the annual barbeque will be
allowed at their facility
• Volunteers are desperately needed to assist with the Tuesday morning bingo
• Pat congratulated Mary on The Bush-Ladies—this event was a tremendous success
• Ontario Power Generation are offering sponsorship of$5,000 and have requested that
their name appear on advertising for Museum events. Councillor Pickles suggested that
OPG's name appears but they not have exclusive advertising. Pat advised that he
would check with Pat O'Brien regarding this.
6. Special Events
• a Summary of the 1999 Statistics was provided
• $12,000 was spent on special events
• $16,000 was raised from educational programs
• the Writers Circle event will not be taking place in 2000
• Mary distributed promotional information
• it was suggested that the video "Once In A Millennium"be shown at an event
• quilting and other needle works will be included in Steam-Up
• school bands will once again be invited
• Sharon will congratulate education staff for their fine work
7. Marketing/Community Outreach Plan
• Mary advised that she would like to prepare press releases for Bloomers & Britches,
quilting, the Opening, progress on Collections, highlight Web page, volunteers and
artifacts.

• She suggested that space be provided at the Pickering Town Centre and libraries from
Scarborough to Oshawa to display museum flyers and that more flyers be distributed to
the schools.
• Tom Mohr suggested we be Involved in the Frenchman's Bay Festival
• Consideration be given to advertising in the Day Tripper publication.
8. Other Business
• VIV night will be held on April 7th — to be held at Eastshore Community Centre — new
community room •
• Museum Management Program — a number of changes have occurred to the grant
process, including an increase to the number of operating hours required to be eligible
for the grant
• Tom Mohr requested that a letter of acknowledgement be forwarded to Rick Matthews.
• Tom Mohr will speak with Dave Marlowe concerning a proposal for Archival
collection and present a proposal to Committee
• Mary suggested raising the Museum entrance fee for Spirit Walk for adults to $10.00
with Foundation Members receiving a discount. The extra charge will defray the cost
of meals for actors who contribute rehearsal time of 25 hours and performance time of
25 hours. The City of Pickering will write formal appreciation letters to performers at
next September's event.
• Mary advised that Bloomers and Britches volunteered over 400 hours to the museum
and she suggested and received confirmation that their photocopying be done by the
City at no cost to this group. A grant was also given to this group of$250.00 for start-
up costs.
9. Site Meeting
The site meeting has been scheduled for May 11th, 2000 at 7 p.m.
